Cookies and Your Account

If you leave a comment on our website, you have the option to save your name, email address, and website address in cookies. This is simply for your convenience, so you won’t need to re-enter your details the next time you comment. These cookies are stored for one year.

When you visit our login page, a temporary cookie is set to check whether your browser supports cookies. This cookie holds no personal information and is automatically deleted when you close your browser.

Once you log in to your account, we set a number of cookies to remember your login details and any display preferences you have chosen. Login cookies remain active for two days, and display preference cookies last for one year. If you tick “Remember Me” when signing in, your login session will be extended to two weeks. When you log out, all login cookies are immediately removed.

As a member, when you make a purchase or manage your membership through our store, additional cookies may be used to keep track of your shopping basket and ensure a smooth checkout experience. These cookies are essential for the store to function correctly and contain no sensitive personal data beyond what is needed to process your order.

Comments

When you leave a comment on our website, we collect the information you enter in the comment form, along with your IP address and browser details. This information helps us detect and prevent spam.

Your email address may be used to check whether you have a Gravatar (a globally recognised avatar) associated with it. If you do, your profile picture will be displayed alongside your approved comment. You can find out more about how Gravatar handles your data in the Gravatar Privacy Policy.

Once your comment has been approved, your name and profile picture will be visible to other visitors alongside your comment.

Embedded Content From Other Websites

Some pages on our website may include embedded content such as videos, images, or articles from other websites. When you view this content, it behaves as though you have visited those websites directly.

These third-party websites may collect data about you, use their own cookies, and monitor how you interact with their content. If you have an account with one of these websites and are logged in, they may also be able to track your interaction with the embedded content on our site.

We recommend reviewing the privacy policies of any third-party websites whose content appears on our site if you have any concerns about how they handle your data.

Who We Share Your Data With

If you request a password reset, your IP address will be included in the reset email.
When you purchase or renew a membership through our website, your payment and order details are handled securely through the following methods:

  • PayPal – If you choose to pay via PayPal, you will be directed to PayPal’s secure platform to complete your payment. We do not store your PayPal login or full payment details. PayPal’s privacy policy is available at www.paypal.com/privacy.
  • Bank Transfer – If you choose to pay by bank transfer, we will share our bank account details with you to enable the transaction. Your payment details are processed directly through your own bank and are not stored on our website.
  • Cheque – If you choose to pay by cheque, the personal details on your cheque (such as your name and account details) will be used solely to process your membership payment and will be handled securely.

We do not sell or share your personal data with any third parties for marketing purposes.

How Long We Retain Your Data

If you leave a comment on our website, the comment and any associated information are kept indefinitely. This allows us to recognise and automatically approve any follow-up comments from you, rather than holding them in a moderation queue.

For members who register on our website, we store the personal information provided in your member profile for as long as your membership remains active, and for a reasonable period afterwards should you choose to rejoin. You can view, update, or delete your personal information at any time by logging in to your account. Website administrators can also view and update this information where necessary.

Order and payment records – When you place an order through our website, we retain your name, address, and order details for as long as legally required. This is necessary for our financial record-keeping and to resolve any queries about your order or membership. If your order includes physical items requiring postage, your name and delivery address are retained for the same period.

As a charity based in Scotland, we are subject to UK GDPR and the Data Protection Act 2018, administered by the Information Commissioner’s Office (ICO). We do not retain your personal data for longer than is necessary for the purposes for which it was collected.

If you have any questions about how long we hold your data, please contact us at stts.glasgow@hotmail.com.

Your Rights Over Your Data

Under UK GDPR and the Data Protection Act 2018, you have the following rights regarding the personal data we hold about you:

  • The right to access – You can request a copy of the personal data we hold about you, including any information you have provided through your membership account, purchases, or comments on our website.
  • The right to rectification – If any of the information we hold about you is inaccurate or incomplete, you have the right to ask us to correct it. Members can update many of their own details directly by logging in to their account.
  • The right to erasure – You can request that we delete the personal data we hold about you. Please note that this does not apply to data we are legally or administratively required to retain, such as financial records relating to your membership payments.
  • The right to restrict processing – You have the right to ask us to limit how we use your data in certain circumstances, for example if you have raised a concern about its accuracy or how it is being used.
  • The right to data portability – You can request to receive a copy of the personal data you have provided to us in a commonly used, machine-readable format.
  • The right to object – You have the right to object to your personal data being used for certain purposes, including direct marketing.

To exercise any of these rights, please contact us at stts.glasgow@hotmail.com. We will respond to all requests within one month, in line with our obligations under UK GDPR.

If you are unhappy with how we have handled your data, you also have the right to lodge a complaint with the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at www.ico.org.uk or by calling 0303 123 1113.

Where Your Data Is Sent

When you leave a comment on our website, it may be checked through an automated spam detection service to help us maintain the quality of our site.

If you pay for your membership via PayPal, your payment data will be processed on PayPal’s servers, which may be located outside the United Kingdom. PayPal operates under appropriate data transfer safeguards and their privacy policy is available at www.paypal.com/privacy.

If you have a Gravatar associated with your email address, a anonymised version of your email is sent to Gravatar’s servers to retrieve your profile picture. Gravatar is operated by Automattic, whose privacy policy is available at automattic.com/privacy.

Other than the above, we do not routinely transfer your personal data outside of the United Kingdom.
